If you are a Grant Applicant or Sponsor:

We collect certain information about Grant Applicants, Funders, Sponsors and Advertisers (e.g. name, postal address, email/social media address, telephone number, job title, biographical/career details, photograph, log-in details, funding/application/invoice details including payment information and details of the applicant and hosting research group/institution, and any personal data contained in the content of any further correspondence relating to the grant application.) We use this information in order to administer grant applications and awards, for the purposes of raising awareness about scientific/newsworthy issues, to promote The Company and its work and (subject to any necessary consents) to market our products and services. We may include photographs of our events in our promotional materials, which may include images of participants.

Where you are successful in applying for a Travelling Fellowship, after the visit, we may include details of your name, your institution name, the host institution/laboratory and project title on our community blog, the Node, our website, social media and other promotional materials relating to Travelling Fellowships to indicate that you were a successful recipient of a grant.

Our lawful basis for holding and using this personal data is the legitimate interests of The Company as a not-for-profit publishing organisation dedicated to supporting and inspiring the biological community and (as applicable) in order to perform contractual obligations owed to you or to take steps at your request prior to entering into a contract.

We share personal data connected with grant applications and awards with the following parties:

  • our grants management service provider who operates in the UK, Ireland, the USA and Canada; and
  • our banking partners who operate within and outside the EEA.

Registrants for The Company’s grants application portal:

Applications for The Company’s grants must be submitted via the grants application portal. When you register on the grants application portal (become a ‘Registered User’), we collect personal information about you (your name and email address). Becoming a Registered User involves an email authentication step whereupon when you sign up, our system will send you an automated email containing a link for you to click on to complete the registration process.

As a Registered User, you may update your personal profile (including your name and email address) at any time simply by accessing your account on The Company’s grants application portal. To delete your account, an email must be sent to grants@biologists.com. Dormant accounts will be deleted by The Company after 3 years.
